Bookedin Adds Security Roles Feature To Simplify Staff Management

For many service businesses like salons, tattoo shops, and fitness studios, schedules are managed in a shared online platform that the whole staff uses. However, sharing one account or giving everyone full admin access often puts data privacy and account security at risk.

That’s why Bookedin has rolled out Security Roles: its latest feature that gives business owners precise control over what each team member can view and do within their shared Bookedin account

It’s especially helpful if you’re growing your team, training new hires, or running multiple locations where different people need different levels of access.

Why This Update Matters for Service Business Owners

Your Bookedin account holds sensitive information, from calendars and client lists to payment data. However, we also understand that not every staff member needs full access to all settings. 

With this new structured and flexible permission system, each employee will have customized access that matches their responsibilities or role in the business. 

This latest update makes it easier to:

  • Keep client data safe by limiting who can view or export client information.
  • Avoid accidental changes to staff calendars, client lists, and other Bookedin settings.
  • Let trusted senior-level employees run the day-to-day with nearly full access permission. 
  • Give junior staff members a streamlined view so they can book clients, while confidential details remain restricted. 

The 4 New Security Roles Explained

Bookedin account owners can now assign each staff member one of these Security Roles (i.e., access permission levels):

  • Viewer: Read-only access; can log in, view specific staff calendars, and access the client list
  • Staff: Includes all Viewer permissions, plus the ability to manage bookings, modify working hours (if permitted), edit client information, and send payment requests
  • Manager: Includes all Staff permissions with expanded capabilities, such as viewing and managing all calendars, deleting clients, exporting the client list (if permitted), refunding payments, and adjusting day-to-day settings
  • Administrator: Nearly full control over all account settings, excluding Bookedin billing and subscription changes (which remain restricted to the account owner)

This tiered access model protects sensitive business data while giving your staff the tools they need to manage appointments and service clients effectively.

How To Adjust Security Roles on Bookedin

If you’re the Bookedin account owner, follow these steps: 

  1. Log in to your Bookedin account. (If you don’t have one yet, sign up for free now!). Also, make sure your app is updated to the latest version.
  2. Go to Settings. Then, click or tap User Logins
  3. Select the user account you want to edit access permissions for. 
  4. Click or tap the Security Roles drop-down menu. Then, select which of the four options you want for that employee. 
  5. For Viewer and Staff users only: Click or tap the Calendar Access drop-down. Then, select which calendar/s you want that person to see. 
  6. Tap Done (on the app) or click Save (on browser) to apply these latest changes. 
  7. Repeat this process for other employees.

Reminder: The steps above are intended for employees who already have access to your shared Bookedin account. If they don’t have access yet, you’ll need to set that up first.
