New Client Follow-Up Emails Feature Helps You Get Repeat Bookings

For service businesses that count on repeat clients, a steady calendar involves nudging those clients to come back on schedule

But they won’t always remember on their own, which means it’s on you — and manually keeping track of when dozens of different clients are due back isn’t realistic. 

That’s what the new Client Follow-Up Emails feature handles for you. With this, you can set up an email that goes out to clients automatically days, weeks, or even months after their visit

You pick the exact timing, so your message lines up with how often your clients actually come in. Plus, you have the option to add a custom message and a “Book Again” button that takes clients straight to your Bookedin page.

Note: This feature is different from the Client Thank-You Emails one. We’ll explain the difference between the two features later in this article.

What Can You Expect From This Feature?

Client Follow-Up Emails are automated emails that your clients will receive at your preferred timeframe after their appointment, class, or workshop is finished. 

You can either use the same Client Follow-Up Email for every service you offer or set up a unique one for specific services. The latter is worth doing when your services have wildly different booking cycles. 

Let’s say you run a salon. You might follow up with a hair color client after six weeks, while with a keratin treatment client, you do it after four months. Those clients are on different schedules, so sending the same message for both doesn’t make sense. 

Every Client Follow-Up Email can also include a button that takes the client straight to your online booking page, where they can pick a time and book without having to call you or wait for a reply. However, it’s completely optional, so you can turn it off for some messages.

Ways You Can Use Client Follow-Up Emails

As mentioned, this feature comes with a custom message field, so you can tailor the message to however you want. Below are some ideas you can consider:

  • Remind clients when it’s time to come in. Most of them often forget, so it’s good to give them a nudge at the right moment. If you’re a lash tech, you can set a two-week follow-up and catch clients right when their fills are due. Or if you’re a pet groomer whose clients come in every eight weeks, you can send a follow-up at week seven. 
  • Turn first-timers into regulars. A yoga studio can email someone two weeks after their first drop-in and point them toward a class pack. Meanwhile, a spa manager can recommend to a new client what treatments they should get next time. 
  • Ask for a review (or testimonial) once the results have settled. Sometimes, it’s better to ask for these when the client has had enough time to see how your work held up — like how a balayage grew in or how a tattoo healed. 
  • Check in after big or one-time work. Not every email has to sell something. For example, a fitness trainer can check in a month after a program ends, or a photographer a few weeks after sending a wedding gallery.

How To Set Up Client Follow-Up Emails

To turn on this feature, here’s exactly how to do it:

  1. Log in to your Bookedin account (as of now, this feature can only be configured on a web browser).
  2. Go to Settings > Follow Up Emails
  3. Scroll down to see the Client Follow Up Emails section. Then, click on “Add Follow Up Email.”
  4. Select how many days, weeks, or months you want the email to send after an appointment/class/workshop. 
  5. Optional: Change the subject line. 
  6. In the Unique Message drop-down menu, pick which services you want to use this Follow-Up Email for.
  7. Optional: Write your custom message and include any links you’d like (e.g., a Google review link). 
  8. Optional: Tick the box for adding a “Book Again” button.
  9. Click “Save Changes.” 
  10. Click “Send Test Email” to preview how the email will look and make sure everything looks good before it goes out to clients.
  11. Repeat the same process for other services (if you want different emails for each one), or to add a second Follow-Up Email for the same service but at a different point in time.

How Is This Different From the Thank-You Emails Feature?

Both features send an email automatically after an appointment, but they’re built for two different moments, and you can run them at the same time.

The Client Thank-You Emails go out about an hour after the appointment, class, or workshop ends. That’s typically the right window for a quick “Thanks for choosing us” message, aftercare instructions, or an invite to post about you on socials while the experience is still fresh.

On the other hand, Client Follow-Up Emails go out days, weeks, or months later. You’d probably want clients to receive these around the time they’re due to book with you again. 

And since you set the timing yourself, you can match it to how often your clients normally come in.

In short, Thank-You Emails wrap up the session a client just had, and Follow-Up Emails get them thinking about the next one.
